Your bassplayer and your sax player are looking at the same lead sheet. At least one of them is reading the wrong thing.
It feels organized to put the whole band on one shared setlist. Everyone sees the same order, the same document, the same source. Tidy. And on a quiet rehearsal afternoon, it works fine.
On stage, that same tidiness quietly works against you. Because a bassplayer and a sax player don’t need the same thing in front of them. When they’re forced to share one view, both of them spend energy filtering it down to the part that’s actually theirs.
One list, different jobs
A working band isn’t one instrument. It’s a handful of people doing very different jobs at the same moment, and each job needs a different piece of paper:
- The singer often sings from memory, but wants lyrics and a roadmap on screen as backup.
- In the brass section, every player needs the right chart in the right transposition, that’s often four different parts.

Where paper and PDFs run out of road
This is the point where paper, and a folder of static PDFs, which is really just paper on a screen, stops being able to keep up. Not because it’s low-tech. Because it can’t stay correct.
A printed book or a fixed PDF library is a snapshot. It’s accurate the moment you print it, and it starts drifting the instant anything moves:
- The set is flexible. The moment the leader pulls a song forward, the physical stack no longer matches what’s being played, and everyone’s flipping.
- A substitute walks in. A dep gets handed a folder of prints, and there’s no guarantee those prints are the current version, or the right transposition, or the arrangement you actually play now. They’re playing off charts that might be three revisions old, and nobody finds out until the second chorus.
That second one is the quiet killer. The whole value of a chart is that it’s right. A folder of prints can’t promise that, because there’s no link between the paper in the dep’s hands and the version the band actually uses. The paper doesn’t know the arrangement changed.
